Service Phases

Our service is geared towards assisting busy professionals who don’t have time to search for places on their own. Our job is to make sure the customer receives daily emails with properties to choose from. How difficult that is depends a lot on the customer’s situation and criteria. We make appointments for our clients based on their weekly availability. Most appointments are scheduled for the weekends, but this will vary from customer to customer.

Service Phases

Servicing Home Search Clients is comprised of 4 phases:

  • RequirementS
  • Search & review
  • viewing appointment
  • application

Requirements Phase

For all customers, get the following information:

  • NAME(s)
  • phone number
  • email address
  • area of interest
  • beds/baths
  • pets
  • maximum rent
  • move date
  • availability for viewing appointments
  • best time of day to contact
  • personal Details (how many adults, their ages)
  • financial details (household income, credit score, any credit issues)

Search & Review Phase

The Search & Review Phase consists of 4 Steps:

  1. Search various sites according to client’s personal and financial details and criteria.
  2. Send a daily email to client with several properties matching the client’s criteria.
  3. Schedule a follow-up call with the client to make sure they are receiving and reviewing emails, and to discuss properties they do and do not like. If they are not available for a call, follow up by email.
  4. For properties the client likes, get the client’s availability for viewings.

Viewing Appointment Phase

The Viewing Appointment Phase consists of 2 Steps:

  1. Contact Listings Agent or Property Manager for viewing request.
    • If the client is interested in several properties, schedule multiple appointments in a day to give them a better chance of quickly narrowing their search
    • Make appointments 45 min apart to allow for viewing and travel time.
    • If client’s preferred time isn’t available, express your client’s interest and provide agent/manager with your client’s contact info.

  2. After confirming viewing date and time w/ agent/manager (make a note of whom you spoke with), send a confirmation email to the client.

Application Phase

The Application Phase consists of 3 Steps:

  1. Contact Listings Agent or Apartment Manager to find out about their application process
    • Listings Agent may want to deal directly with client – give client’s contact info to agent.
    •  
  2. Send details to client
    • Client my need to apply in person
    • Online application may be available. Send link.
    • Onsite manager may be required to email application. Forward application to your client
    • If Listings Agent wants direct communication, relay this to your client.

  3. Pending application – follow-up with client regularly regarding status updates.
