Topic Progress:

In the Search & Review Phase, you use the client's details and criteria to search various sites for the options that best fit them. You'll send frequent emails to the client with what you found. You'll also follow up with them to confirm they're reviewing what you've sent, find out what they like or don't like, refine their criteria, and get to know them and their situation better so your recommendations can be more personalized.

 

Search & Review Phase

The Search & Review Phase consists of 4 Steps:

  1. Search various sites according to client’s personal and financial details and criteria.
  2. Send a daily email to client with several properties matching the client’s criteria.
  3. Schedule a follow-up call with the client to make sure they are receiving and reviewing emails, and to discuss properties they do and do not like. If they are not available for a call, follow up by email.
  4. For properties the client likes, get the client’s availability for viewings.

First - Clients We Do Not Service

Clients which meet any of these criteria are not eligible for our service:

  • First-time renter with no cosigner
  • First-time renter with a cosigner with a credit score under 700 or a monthly income less than seven times the monthly rent
  • First-time renter with a credit score under 550
  • First-time renter with income less than 3.5 times the monthly rent
  • Unemployed students with no cosigner
  • Renter with an eviction within the last 3 years
  • Renter with a Pit Bull breed of dog
  • Renter with a felony conviction

Search Sites According to Client's Criteria

After we have gathered the client's qualifications, if they meet our requirements, we can get started with their search. The sites below are good resources to search according to your client's criteria, looking for the properties that fit them best..

Another good resource is the management company itself. You can search the web to find a list of management companies (for example, “Long Beach CA property management”). This will provide you with a list of management companies to contact. Managers are very blunt about any questions you may have. Sometimes you can save time by reading property descriptions on their website. After you find at least 5 companies, you can begin to email your client the listings from those companies that match your client’s specifics.

Send Daily Email to Client with Properties Matching Their Criteria

Once you have a list of several properties fitting the client's criteria, you send them to the client via email to choose a few they like. Depending on the urgency of the client's situation, you'll perform searches and send them emails with new properties anywhere from daily to twice per week.

Tip - If your client isn't that comfortable with the properties you've sent them, try to adhere more strictly to their criteria. If there simply aren't options meeting all their criteria, let them know and readjust it to something more practical. This will reset their expectations and allow you to send them some options which should be to their liking.

4. The past two (2) month's pay check stubs, or most recent W-2 form.
5. Copy of each applicants drivers license or government produced identification which has a picture of the applicant on it. 

QUALIFYING CRITERIA:
A. Favorable rental history  no evictions or negative reports from former residences.
B. Positive credit history  no recorded judgments, collection accounts, delinquencies (exceeding 90 days) or bankruptcies during the past 3 years.
C. Gross monthly income to be 2.5x monthly rental rate. No Co-signers accepted.

Schedule Follow Up Calls

Follow up with the client to verify they are receiving your emails and discuss which ones they like and want to move forward with. This is preferably done over the phone. If your client hasn't provided a phone number, then follow up in a separate email. This is also a good opportunity to have a brief personal conversation with your client to get more familiar with them and their situation.

You should aim to find out more personal details, such as:

Family Size - If they have children, what are their ages? This can affect which neighborhoods are the better neighborhoods for your client. They are relying on you to be an expert in your field, and you can ad value to their search by suggesting neighborhoods that have more family-friendly amenities, or have a lower crime rate, even if the client didn't specifically ask for these things.

Job and Job Location - Even if they don't specifically ask you to take it into account, you can have in mind what their average commute time would be and favor properties which are closer to where they work. Make a brief note in your search result emails to them that certain properties are closer to work, and they'll appreciate your effort.

Financial Situation - Since a client's credit worthiness greatly affects the type of properties they'll be able to rent, it's essential that you get this information from them. It could be that what they're looking for is completely unrealistic compared to what they can afford. If this is the case, you will need to reset their expectations.

 

You will reach out to managers and landlords daily, and follow up with customers every other day to track their progress. Some clients will find places really fast, but some may take a few weeks depending on how many issues the client may have. The more places you reach out to will give your customer better chance of finding something sooner.

Confirm Availability for Viewings

If there are properties your client likes, then you must confirm their availability for viewings before you contact the Listings Agent or Property Manager on your client's behalf. This conversation is the best time to do that. Refer to the availability they should have given you in the requirements email they sent you. That will give you what their availability should be.

Of course our lives constantly change, and their availability may be different now. When asking them about it, be sure to reference what they've already given you - "I have your availability for viewing appointments as....  Is that still correct?"; "You originally gave me.... as your availability to view properties. I just want to make sure that's still the case. Is it?" This will help keep you from wasting your time with agents and managers, and embarrassing yourself in front of your client. Convey to them that you just need to be precise and professional to help them the best you can.
