The process of servicing Home Search clients is comprised of 4 phases:

Requirements Phase
In the Requirements Phase, you get your customer's details and their search criteria. If their criteria is incomplete (they don't list the number of bedrooms and bathrooms they would like, for instance), you need to email them back or call them to fill in the missing details. It's important that you get as much information as you can about the client as early as possible, so your searches are fruitful and the client can start viewing properties right away.
Search & Review Phase
In the Search & Review Phase, you use the client's details and criteria to search various sites for the options that best fit them. Once you have a list of several properties fitting the client's criteria, you send them to the client via email to choose a few they like. You'll also follow up with the client to verify they are receiving your emails and discuss which ones they like and want to move forward with.
Viewing Appointment Phase
Once the client has chosen some properties they would like to view in person, you've moved on to the Viewing Appointment Phase. In this phase, you will contact Listings Agents or Property Managers on your client's behalf to schedule an appointment to view the property. It is essential that you have your client's availability for viewings already in hand before reaching out to Agents/Managers. Some Agents/Managers will want to deal directly with the client themselves, and others will be comfortable enough to go through you. In any case, you want to be as helpful as possible to facilitate your client getting to view the property they're interested in.
Application Phase
Once the client has viewed properties and knows what they want to apply for, you'll start the Application Phase. In this phase, you'll reach out to the Agent/Manager once again about their application process, and get the ball rolling for your client. The application may be filled out online, emailed, or in paper form. But whatever the case, you need to get the application to your client as quickly as possible. The client will then fill it out and submit it on their own.
